IMPORTANT INFORMATION FOR ALL VENDORS:

 

RUNNING LATE? LOST?
  • During load-in or the event, if something comes up that will prevent you from opening your booth on-time, you must call Lorianna at: (505) 301-2418.
EVENT DATES AND HOURS:
  • Saturday, September 2: 12pm – 6pm
  • Sunday, September 3: 12pm – 6pm
  • Monday, September 4: 12pm – 4pm
INFORMATON FOR WINERIES:
Festival binders with celebration permits will be distributed on Saturday morning.
All wineries will be provided with a walkie-talkie to contact staff, security, and EMTs when needed.
WRISTBANDS
  • Attendees who have been ID’d will have a colored wristband. Green on Saturday & Monday, Yellow on Sunday.
  • Any attendee without a wristband is under 21 or a designated driver.
  • If a designated driver presents you with a valid ID you may sell them wine by the bottle but they may not sample wine nor receive a glass of wine. IF they want to sample, send them to the box office to purchase a tasting Ticket and receive a wine glass.
WINE SAMPLING & SALES HOURS
  • Sampling and glass sales end 30 minutes prior to closing each.
    • Wineries – at their own discretion, may choose to sample wines past this time (i.e. someone deciding what bottle to buy).
  • Bottle sales may continue until 30 minutes past closing each day. 
WINE SAMPLING
  • Wine glasses have a .5 ounce tasting line and a full glass line printed on them.
WINE STORAGE
  • We will have a staffed, and secured tent on east side of the field, dedicated for winery back-up storage. We have enough space to allow each winery to store approximately 15-20 cases, stacked 2-3 high.
  • There will be a security guard stationed at this tent with access provided only to wineries and their staff.
WINE PORTERS AND BOTTLE CHECK
  • When your customers buy bottles of wine, advise them to use the Free Bottle Check service located by the festival entrance to keep their purchase safe.
  • When your customers buy by the case, offer them our new, Free Wine Porter service.
  • HOW IT WORKS:  On Saturday morning we will provide all wineries with stick-on labels for customers to fill out and attach to their cases with their contact information.
  • Throughout each day 3 wine porters will canvas the event with dollies to transport the cases to Bottle Check.
  • Attendees can pick up their cases at Bottle Check when they are ready to leave, by showing ID matching the information on the label.
EMPTY BOTTLES AND BOXES
Wine porters and ice-delivery staff can assist with removing boxes of empty bottles, when
INFORMATION FOR ALL VENDORS
LOAD-IN HOURS
  • Official Load In: Friday, September 1: 12PM – 6PM
  • Saturday, September 2: Gates open at 8:00AM to vendors. All vendors must be in-place and ready for health and fire inspections by 10:30AM.
  • Sunday and Monday: September 3 & 4: Gates open at 9:00AM to Vendors
Please bring what you need to carry or transport your supplies to your booth space, because there is no driving on the grass. Thank you.

LOADING-IN AND OUT:
  • There is absolutely, positively– NO DRIVING ON THE GRASS. NOT EVEN TO TURN AROUND.
  • A $500 fine will be levied upon any vendor who drives on the grass.
  • During Load-In and Load-Out, the perimeter fence will be opened in numerous places to allow for easy access to the field.
PARKING PERMITS: Click here for a parking permit
  • Every vehicle pulling into the festival grounds must have a parking permit on the dashboard.
  • Cars parking in the attendee lot do not need them.
  • Please print a permit and bring it with you.
  • We will have copies to issue as well.
  • Vehicles without a permit may be towed.
PARKING
  • Vendors may park near the field during the event, but vehicles may not be moved during the event for attendee safety.
  • If you plan on having to move your vehicle during the event, park in the public parking lot or in parking area C. (see Map)
  • IMPORTANT: vehicles will not be allowed to drive into the festival area after 11am.
SECURITY:
  • There is overnight security on Friday, Saturday, and Sunday nights.
  • All tents will closed over night.
  • Everything must be removed on Monday after the festival.
FREE COLD WATER WILL BE AVAILABLE TO ATTENDEES BY THE EMT TENT.
WHAT IS PROVIDED:
WINERIES RECEIVE:
  • 2 uncovered, bar-height (40″ tall), 8ft tables, bring your own table covers/cloths.
  • 2 chairs
NON-WINERY/NON-MOBILE VENDORS RECEIVE:
  • 1 uncovered 8ft table, bring your own table cloth.
  • 2 chairs
BRING YOUR OWN:
  • Trash can for your booth
  • Banners and signage – and the means to hang them. (bungee cords).
  • Table cloths

  • When arriving and loading-in:
    • Be sure to have a parking permit on your dashboard with your name and phone number.
    • Obey the clockwise direction of traffic. Do not block any roads or fire lanes.
PARKING
  • The vendor parking permit form must be filled out and placed in every vendor vehicle parked onsite.
  • Vehicles without the permit may be towed.
  • No vehicles may drive into the event site after 11:00AM on any day.
  • After unloading move your vehicle to a designated vendor parking area.
  • You may not remove your vehicle from inside the gates until after the event has ended.
  • If you plan on having to leave during the day, please use the attendee parking lot.
VENDOR BADGES
  • Vendor badges will be distributed at Load-In or delivered to your booth on Saturday morning.
  • Vendor badges are required to be worn by all vendors and their staff while walking around the grounds of the event.
  • Badges may be transferred among employees.
  • Staff arriving after the event has started: if arriving without a Vendor Pass, instruct them to proceed to the Advance Tickets tellers and provide the Vendor Name for festival access.  They can get a vendor badge from you, at the booth, or from an Advance Ticket teller. 
WRISTBANDS AND GLASSES FOR VENDORS
  • Any vendor or their staff looking to secure a tasting wristband and wine glass can get it at the Bottle Check tent – at no cost. The tent is located by the main entrance.
ICE
  • There will be ice vendor located behind the music stage throughout the event.
  • Approximate price: $1.75 per 8lb bag.
  • They will be onsite at 9:30AM each day.
FOOD VENDORS:
  • Do not forget your hand-washing station as required by the City Of Albuquerque.
  • The health department will be inspecting vendors on Saturday.
WIFI ACCESS
There is no Wifi at Balloon Fiesta Park
ATMs
We will have ATMs set up inside and outside the event.
TRASH
  • DO NOT LEAVE ANY TRASH BEHIND.
  • Failure to remove ALL of your trash, including boxes, gray water, etc, will prevent you from taking part in future events.
  • We will have dumpsters onsite. 
  • Vendors are responsible for getting their trash to the dumpsters during and after the festival.
  • During the event, if your in-booth trash fills up, you may empty it into one of the large trash bins located throughout the event.
ELECTRICITY
  • If you ordered electricity, you must bring with you no less than 100 FEET of grounded (3 prong) extension cord(s) and power strips. 150 FEET for food trucks and food vendors along the east side of the field. We recommend heavy duty cords. 
  • Cords must be in good condition.
  • The fire marshal will disconnect any cords that are frayed or taped together or pose a fire risk.
